Timetable Guide

The timetable system builds the weekly schedule of all classes in the school in a conflict-free and balanced way. There are five core concepts:

• Class (section): Each section like 5-A, 6-B. The schedule is attached to these.
• Lesson pool: A class's lessons: lesson name + weekly hours + teacher (e.g. Math, 5 hours, Teacher Ayşe).
• Teacher: The system does not place a teacher in two classes at the same day+time (conflicts are prevented).
• Classroom: A physical room. The same classroom cannot be assigned to two lessons at the same time (room conflict).
• Time slot: 1st period, 2nd period… Generated from the start time, lesson duration and break in the settings.

The Timetable and Classes page (Management → Timetable) is designed as a top-to-bottom flow. In order:

1. Step 1 · Class Structure

   Enter the number of sections for each grade level (e.g. Grade 1, 4 sections). The system generates the sections automatically. The schedule cannot be created until this step is complete.

2. Step 2 · Constraints (optional)

   Define classrooms (name, capacity, type) and mark the days/hours when teachers cannot come. These constraints are taken into account in automatic generation and substitution.

3. Step 3 · Automatic Schedule

   Assign a homeroom teacher to each class; enter the lesson pool (lesson + weekly hours + teacher). Press 'Generate Schedule Automatically'; the system solves the whole school together. Then export with 'Class PDF'.

4. Step 4 · Manual Fine-Tuning (optional)

   Select a lesson + teacher (+ classroom) in a grid cell and save. To delete a lesson, clear the lesson field and save. Conflict warnings appear instantly at the top.

5. Step 5 · Daily Substitution

   When a teacher cannot come, select the date + teacher; that day's lessons and the most suitable substitutes are listed.

The system uses not artificial intelligence but a deterministic scheduling algorithm — it produces the same result for the same input. It solves the whole school together and follows these rules:

• A cell (class, day, hour) gets only one lesson.
• The same teacher cannot fall into two classes at the same day+time.
• That teacher's lesson is not placed in cells the teacher marked 'unavailable'.
• The same lesson is placed at most 2 times a day (if there is no room, this rule is relaxed).
• Lessons are spread across days as evenly as possible (one day full, another empty is avoided).

If all lessons do not fit into the weekly capacity (e.g. the total lesson hours exceed the day×hour count), the unplaced lessons are reported in the “Unplaceable lessons” list — the rule is not silently violated.

Classroom assignment: In the manual editor you can select a classroom for each lesson. If two lessons fall into the same classroom at the same day+time, it appears as a room conflict in the warning panel at the top.

Teacher availability (time-off): In the Teacher Availability section you select a teacher and mark the “unavailable” cells in the day×hour grid. The automatic schedule places no lesson in those cells; in daily substitution that teacher is not suggested at that hour either.

Three types of conflict are detected and listed with a colored warning: teacher (in two classes at the same time), class (two lessons in the same slot), classroom (the same room in two lessons).

When a teacher cannot come: select the date + absent teacher. The system lists the lessons that need covering that day and ranks the most suitable substitutes for each lesson:

• Teachers who are FREE at that hour (do not create a new conflict).
• ★ A teacher who already teaches the same lesson (subject match) comes first.
• The one with a lighter lesson load that day comes first (fair distribution).

When you assign a substitute, an automatic notification goes to that teacher. The assignment is unique per date+lesson; you can remove it whenever you want.

Both the class and teacher schedules are exported as PDF in an aSc-style layout with days as rows / periods as columns. Break blocks (Assembly, Lunch, Afternoon) are drawn as vertical columns spanning all days; each cell holds the lesson name + teacher/class (and classroom if any).

The range of the lesson times is calculated according to the lesson duration (40/45 min) in the Settings → Timetable section. A teacher can also download their own schedule and PDF from their own panel.

• First set the start time, lesson duration and break from Settings → Timetable; the time slots are generated from here.
• ALWAYS select the teacher from the dropdown in the lesson pool (do not type the name by hand). Conflict checking and lesson reminders depend on the teacher account.
• After automatic generation you can do manual fine-tuning; the system writes over it and your manual change is preserved.
• Teachers get an automatic reminder 5 min before the lesson starts (when the panel is open).

• No class warning: First create the grade levels and sections in Step 1.
• No teacher warning: Add teacher accounts from the Staff section.
• PDF times are wrong: Enter the lesson duration correctly in Settings → Timetable (40/45 min).
• No substitute suggested: All teachers may be busy or unavailable at that hour; make a different teacher available or thin out the schedule.
